What personal data we collect and why we collect it

We collect personal information from you using contact forms, entry forms for tournaments, and subscribe / unsubscribe forms, including information about your:

• name
• contact information
• Golf NZ membership number

We collect your personal information in order to respond to your enquiries and conduct business with you, such as accepting an entry into a tournament conducted by the club.

You have the right to ask for a copy of any personal information we hold about you, and to ask for it to be corrected if you think it is wrong. If you’d like to ask for a copy of your information, or to have it corrected, please contact us at counter at levingolfclub.co.nz 

Simple requests for a copy of your personal information, and corrections of errors, will be done free of charge.

Effective 16th February 2023, requests for personal information that will take longer than 1 hour to investigate and process, and/or produce more than the equivalent of 5 A4 pages, will incur a charge of $1.15 per page equivalent and $50 (+ GST) per hour of staff or volunteer processing time. Once we reach the threshold of free processing for your request, we will contact you with an estimate of charges to complete your request and get your permission to proceed. A suitable deposit will be required before we continue with your request.

Cookies

Our web site is provided by dot.golf, and our tournament entry forms are provided by Microsoft.  Both these services may use cookies, but we have no control over these.  We refer you to these providers regarding cookies they may use.

Who we share your data with

Our membership and scoring systems are provided by dot.golf, a system provided by Golf New Zealand.  Your personal information including name, date of birth, gender, address, handicap index and scoring history is retained in dot.golf.  This information is accessible to staff and registered volunteers for the purposes of registering you to play, issuing a scorecard, and recording scores for the purpose of maintaining a handicap.  All golf clubs in New Zealand use dot.golf, and staff and volunteers with a logon are able to access limited personal information about you including name, handicap index, scoring history, and the type of membership you hold with Levin Golf Club.

Only staff members and volunteers working on a tournament have access to your information for the purposes of running the tournament.

How long we retain your data

If you use a Microsoft Form to register for a tournament, subscribe or unsubscribe from a mailing list, or use other services fo the club, we retain your data indefinitely.  The data is kept securely in Microsoft cloud services and dot.golf services.

Membership data is retained in dot.golf according to dot.golf privacy policies and we have no control over that as users of dot.golf.

What rights you have over your data

You have the right to have your data deleted or corrected.  Contact the club with your specific request.

Where we send your data

Data is retained by the Levin Golf Club, but will pass through servers used by our service providers.

Only authorized users can access your personal information.

Members may access your contact details. If you wish to prevent this, please contact the office.

What data breach procedures we have in place

On becoming aware of a data breach, we will email everyone who has left an email address on the site to inform them. We will not keep billing information or other sensitive data on the site.
